GENERAL SUMMARY:

Under general supervision, provides highly confidential administrative support to Human Resources Recruitment and the (HR) department.

PRINCIPAL DUTIES & RESPONSIBILITIES:



  • The teammate in this role is responsible for engaging with HR teammates and the line of business partners on the staffing process, including but not limited to:
    • Maintaining relationships with hiring managers, and additional partners as required to facilitate the position management process by guiding them in the ticketing process, guiding them in the requisition process and tracking positions to ensure SLAs are being met.
    • Will work with SMBC parent company Operations Team to inquire on the status of positions and push them along in.
    • Will partner up with the HR Business Partners to ensure positions are being reviewed and approved.
  • Provides administrative support for the recruitment team and other human resources managers, as needed.
  • Gathers and compiles information from various sources, responding to emails on their own initiative and using independent judgment.
  • Proofreads and ensures accuracy, proper form, syntax, grammar, and appearance of all typed materials. Photocopies correspondence, memos, and reports.
  • Reviews and prepares answers to incoming correspondence from recruiters, prospects, and Bank personnel.
  • Upon request provides information to recruiters, prospects, and Bank personnel. Exercises independent judgment in relating confidential information to appropriate personnel.
  • Schedules appointments, meetings, and candidate interviews.
  • Initiates, receives and screen telephone calls for recruitment. Greet visitors and scheduled guests.
  • Coordinate travel arrangements and expense reports as necessary.
  • Assists in the preparation of materials, information and reports pertinent to various appointments and meetings.
  • Develops reports to track results, manages, maintains and communicates data effectively to ensure accuracy.
  • Performs operations on information (e.g. basic arithmetic calculations, sorting data) to process into appropriate form.
  • Manages and maintains office files and records to ensure efficient accessibility/usage and confidentiality.
  • Assist with call-back of the various processes to ensure accuracy
  • Works with recruiters and our immigration third-party vendor to ensure immigration paperwork is processed appropriately and timely meeting the deadlines.
  • Complete daily assignments accurately and within departmental timeframes
  • Performs other duties as assigned.

POSITION SPECIFICATIONS:

Education: High School Graduate or equivalent

Experience: 1-3 years in an administrative/secretarial capacity.

Skills/Qualifications: Advance personal computer skills, including Microsoft Word and Excel, with the ability to learn new software packages as required. Ability to read, proofread, write, and perform basic to moderately complex arithmetic calculations. Excellent grammar, communications, interpersonal, organizational, and analytical skills.
